This guide explains how to properly record and manage expenses when using your Truss Payments card in tandem with JobTread (JT) and QuickBooks Online (QBO). Following these steps ensures that project costs are accurately tracked in JobTread and reconciled seamlessly in QuickBooks.
Step 1: Locate the Project in JobTread
Log in to JobTread.
Navigate to the job/project where the expense belongs.
This ensures the cost is tied to the correct job budget from the start.
Step 2: Verify QuickBooks Bank Feed Connection
Before recording the expense, confirm that your Truss Card account feed is connected to QuickBooks Online (QBO).
If the card feed is not connected, go to your QBO settings and attach the Truss Card bank feed.
This step is critical—without the feed, the expense won’t reconcile properly.
Step 3: Record the Expense in JobTread
From within the job, create a new expense.
Scroll to the bottom of the expense entry page.
Select “Push as Expense” (not as a bill).
This ensures the transaction goes directly into QBO as an expense rather than as an unpaid bill.
Step 4: Assign to the Correct Account
When prompted, select the Truss Card account as the payment account.
This routes the expense to the proper ledger.
Save the entry.
JobTread will now push the expense to QuickBooks Online.
Step 5: Match & Reconcile in QuickBooks
Once the expense has synced to QBO, it will appear in your bank feed.
Match the expense against the corresponding Truss Card transaction in the feed.
Complete reconciliation as usual.
Step 6: Differentiate Your Bank Feeds
To keep things organized, rename your Truss Card feed in QuickBooks:
Use the name “Truss-Card”.
This clearly separates it from your normal cash account and makes reconciliation easier.
